Verification without the retyping — and without the wrong summary reaching the wrong office.
Benefit Beacon desktop prepares benefit-summary PDFs on each practice’s configured template and is one of the five desktop tools — and it comes free with any other ClaimVolt tool. Benefit Beacon Plus is the separate provider-facing intake and delivery lane: provider offices submit requests through their assigned links, your team completes the authorized workflow, and the completed summary returns through the configured delivery path.
The jobs Benefit Beacon removes
- Verification phone queues — provider offices calling in requests, your team writing them down, everyone waiting on callbacks
- Manual entry into the sheet — retyping each request into a spreadsheet before anyone starts the actual verification
- Hand-built VOB forms — filling each practice’s verification form by hand, patient after patient
- Fax-and-hope intake — requests arriving with half the fields you actually need, in someone else’s handwriting
The same recurring error, in a different lane.
The story that produced Appeal Volt produced this tool too, because it was never really an appeals problem. A teammate on our own floor — capable, busy, human — kept sending the wrong information to the wrong doctor. Verification is where that pattern lives most naturally: many practices, many similar-looking summaries, all going back out to different offices, all day.
Underneath it sat the retyping. Every request arrived by phone or fax and got entered by hand into the sheet before anyone began the verification itself. Two transcriptions per request, both of them free-typed, both of them the kind of task that a person does well at 9am and less well at 4pm.
Benefit Beacon replaced the hand-built form with a per-practice template, and Benefit Beacon Plus replaced the phone-and-fax intake with a structured submission. Between them, the free-typed steps came out of the middle of the workflow — which is where that class of mistake was being manufactured.
| Step | Status |
|---|---|
| Take the request by phone or fax | Submitted |
| Retype it into the sheet | Removed |
| Find the payer’s phone number | Shared list |
| Fill this practice’s form by hand | Templated |
| Decide which office gets it back | From records |
| What the biller still does | The verification |
Wrong summary, wrong office. That is the error this tool was built to remove.
Verification work has a specific hazard: the outputs all look alike. Dozens of benefit summaries a week, similar layouts, similar fields, going back to different practices. Get one recipient wrong and you have sent one office another office’s information — a mistake that is embarrassing at best.
Benefit Beacon narrows the places that can go wrong. The template is a property of the practice, published by an admin, so the document is right by construction. The payer list — names and phone numbers — is maintained once for the whole team and served from your company cloud, so the right number fills in rather than being looked up for the fourth time today. With Benefit Beacon Plus, the request arrives already attached to the provider office that submitted it through their assigned link, so the return path is data rather than a decision.
On our floor, that class of mistake stopped — not because anyone became more careful, but because the free-typed steps where it was made are no longer in the workflow.
The honest boundary: That is our floor’s experience, stated as ours. Your office has its own error classes, and the honest way to find them is to walk your workflow — not to copy our numbers onto your practice.
| Error class | Handling |
|---|---|
| Summary returned to the wrong office | From records |
| Request retyped incorrectly | Not retyped |
| Wrong practice’s form used | Per practice |
| Wrong payer phone number | Shared list |
| Request arrives half-complete | Structured form |
| Who runs the verification | Always a person |
Our own telemetry undercounts this one, and we’d rather say so.
Every ClaimVolt tool logs its own runs, which is how we can talk about our floor at all. Benefit Beacon’s log records what passes through the desktop generator. It does not record the manual entry into the sheet that used to sit in front of that step, and it does not record the phone tag that sat in front of that.
So the number our own instrument reports is smaller than the work the tool removed. To give one concrete sense of scale from our floor: one doctor alone sends about six verification requests a day, and every one of those used to mean manual entry before anyone started verifying anything. Multiply by the practices you serve and you can see why we are not comfortable quoting our own figure as if it were the whole story.
Proven in daily production on our own billing floor since early 2026, ClaimVolt returns more than 200 hours of hands-on work every month — before counting the Posting Review Desk, which we track by volume rather than time. Benefit Beacon contributes to that number, and the honest caveat is that its own share is understated within it.
Which is why we lead this page with errors and intake instead of hours. Those we can describe exactly.
- What the tool counts — benefit summaries generated on the desktop, and runtime
- What it does not count — the manual entry into the sheet it removed, or the phone tag before it
- What we will not do — publish a per-VOB savings figure we cannot stand behind
- What we will do — show you our raw counts at your review and let you judge them
Each practice gets its own form back — the one it already knows how to read.
Every doctor or practice gets its own template: the PDF background plus the field layout of that practice’s VOB form. What you deliver looks exactly the way that office expects it to look, every single time, no matter who on your team prepared it.
That is worth more than it sounds. A provider office that receives the same document in the same shape every week stops checking your work and starts trusting it — and a front desk that recognises your summary at a glance is a front desk that stops calling to ask questions the document already answers.
- One template per practice — their form, their field layout, their expectations
- Published once — admins publish the known-good template set; every signed-in workstation receives it
- One payer list — names and phone numbers maintained for the whole team, served from your company cloud
- Built for repetition — the form clears and returns the cursor to the first field, ready for the next patient without touching the mouse
- One running count — the stats bar tracks today’s verifications; admin Reports & Analytics keep team volumes and history
What goes back to a provider office is the office’s document, not a typed message.
Verification is a conversation with other people’s front desks, and left to itself that conversation is conducted in however many typing styles you employ. Benefit Beacon makes the deliverable the message: a completed summary on the practice’s own approved template, produced the same way whoever ran it, returned through the configured delivery path. With Benefit Beacon Plus, the inbound half is standardized too — each provider office submits on a form built around what that office actually collects, so what arrives is complete, legible, and structured rather than a fax in somebody’s handwriting.
🔒 Access control — a benefit, not a setting. Templates and the team insurance list are published company-wide by an admin; workstations use the approved set rather than editing it for everyone. On the Plus side, each provider office has its own assigned link and its own form, so intake is scoped per office rather than open to the world — and activation, provider migration, links, output mode, and delivery are separate setup gates you pass deliberately, not switches that flip because you paid.
Finished benefit summaries, one patient after another.
Built for repetition
Pick the practice and the insurance, enter the patient fields, click Generate VOB. The form clears and puts the cursor back in the first field — ready for the next patient without touching the mouse.
Per-practice templates
Every doctor or practice gets its own template — the PDF background plus field layout of that practice’s VOB form — so what you deliver looks exactly how each office expects it.
Templates arrive on their own
Admins publish the known-good template set once; every signed-in workstation receives it automatically. No files to pass around, no versions to argue about.
One insurance list for the team
The payer list — names and phone numbers — is maintained once for the whole team and served from your company cloud. The right number fills in by itself.
A running count as you work
The stats bar tracks the verifications generated today, and admin Reports & Analytics keep whole-team volumes and run history.
Honest connection status
If the connection drops, the status pill shows Offline. Local desktop work that doesn’t require the unavailable connection stays available; connection-dependent actions wait until the route recovers.
Custom intake forms your provider offices fill out for you.
The biggest verification time-sink isn’t filling the form — it’s getting the request: the calls, the voicemails, the faxes missing half the fields. Benefit Beacon Plus flips the flow. Each provider office that sends you work gets a clean web intake form on its own assigned link, customized to exactly what that office collects — their fields, their language, their required boxes.
Offices submit online in a minute. The request lands with your team — complete, legible, and structured — your team completes the authorized workflow, and the completed summary returns through the configured delivery path on that practice’s own template. No phone tag, no rekeying someone’s handwriting, no “can you fax that again.”
Benefit Beacon Plus is a distinct surface from the desktop tool. It is not one of the five desktop tools, and buying it does not put a provider live — that is a setup path you walk deliberately.
| Step | Status |
|---|---|
| Offices call or fax requests in | Replaced |
| Staff rekey half-complete requests | Replaced |
| Custom web form per provider office | Included |
| Requests arrive complete & structured | Included |
| Completed summary back to the office | Your team |
Availability: Benefit Beacon Plus is coming soon and will be included free with any tool. Activation, provider migration, links, output mode, and delivery remain separate setup gates; future availability does not prove a provider is live. The intake portal is the one part of ClaimVolt that travels beyond your walls — at your workflow review we’ll walk through exactly how that data path works and the paperwork behind it.

Questions offices ask about Benefit Beacon
How do I hear when new-customer access opens?

How much time does it actually save?
More than our own telemetry says, which is why we lead with the errors instead. Benefit Beacon counts what runs through the desktop generator; it does not count the retyping into a spreadsheet that used to sit either side of that. One doctor alone sends about six verification requests a day on our floor, and every one of those used to involve manual entry before anyone did the actual verification. We would rather say the number is understated than quote you one we don’t trust.
What exactly is Benefit Beacon Plus?
The provider-facing intake and delivery lane, and a distinct surface from the desktop tool. Provider offices submit requests through their assigned links on a form customized to what that office actually collects; your team completes the authorized workflow; the completed summary returns through the configured delivery path. Coming soon and included free with any tool. Activation, provider migration, links, output mode, and delivery remain separate setup gates; future availability does not prove a provider is live.
Where do the VOB templates come from?
Each doctor or practice gets its own template — the PDF background plus the field layout of that practice’s VOB form. Admins manage and publish templates once, and every signed-in workstation receives the company set automatically.
Who can change what goes out?
Admins. Templates and the shared insurance list are published company-wide; a workstation uses them rather than editing them for everyone. The benefit summary a provider office receives is on that practice’s approved template, not on whatever an individual assembled.
What happens if the connection drops?
The status pill shows Offline. Local desktop work that does not require the unavailable connection remains available; connection-dependent actions wait until the route recovers.
Does patient data leave our office?
The desktop tool generates VOB PDFs on your machines, saved to folders your practice controls, and license activation never sends patient data. The optional Benefit Beacon Plus intake portal is the one part of ClaimVolt that travels beyond your walls — it carries verification requests from provider offices to your team over encrypted connections. At your workflow review we walk through exactly how that data path works and the paperwork behind it, so your answer comes from the actual architecture.
What does it run on?
Shipped, signed installers for Windows, with approved updates offered through the in-app updater. The intake portal is web-based — provider offices need nothing but the link to their form.
Start at whatever depth you’re comfortable with.
Nothing here asks for a card, and the first two don’t even ask for a conversation you didn’t want. Work down the list at your own pace.
Audit your own week
The Billing Office Time Audit is a free worksheet you can run today — seven work categories, real hours, honest scores. It’s the same exercise we ran on our own floor before we automated any of it.
